How Much Does an AI Chatbot Cost for a Small Business?

Every week someone asks us this question, and every week the honest answer starts the same way: it depends on what the bot has to do. But "it depends" is useless when you're planning a budget, so here are real numbers from real projects.
The three price tiers we actually see
Tier 1 — FAQ bot ($0–100/month). Answers questions from your existing website content. Tools like Tidio or a basic GPT wrapper do this fine. If all you need is "what are your hours" and "do you deliver to Burnaby," stop reading — this tier is yours.
Tier 2 — Lead capture bot ($1,500–4,000 one-time). Trained on your business, qualifies the visitor, books the appointment into your calendar, and files the contact in your CRM. This is where most small businesses should start, because this tier has a measurable payback: one recovered after-hours lead per week usually covers it in a quarter.
Tier 3 — Operational bot ($5,000+). Connected to your inventory, your pricing, your booking logic. It doesn't chat — it works. Fewer businesses need this than agencies will admit.
What actually drives the price
Not the AI. The AI is the cheap part. The price lives in three places:
- Your content. If your pricing, services and policies exist only in your head, someone has to write them before a bot can answer them.
- Integrations. "Talk to visitors" is cheap. "Create the contact, tag it, notify Telegram, and book the slot" takes plumbing.
- Edge cases. The last 10% of questions a bot might get cause 50% of the work. A good build defines what the bot doesn't answer and hands those to a human gracefully.
The two questions that decide everything
Before spending anything, answer these:
- Do you miss leads after hours or during busy periods? If yes, a bot pays for itself. If no, it won't.
- Can you write down your 20 most common customer questions? If yes, the build is fast and cheap. If no, start there — with a doc, not a bot.
The bottom line
Budget $2,000–3,500 for a proper lead-capture bot, done once, owned by you. Be suspicious of anything under $500 (it's a template with your logo) and anything over $10k for a first project (it's scope creep before day one).
